About the 2023 National Home Visiting Summit

About the Summit

The 2023 National Home Visiting Summit will be held virtually on March 14-16, 2023, allowing us to connect a growing community of systems leaders, researchers, practitioners, policy advocates, families, key partners and decision makers in a collaborative pursuit to advance the home visiting field. Engage with peers and experts in live interactive sessions and at your own pace on-demand. We invite you to be part of this impactful virtual conference.

Spanish Language Track
For the first time, the Summit will offer a Spanish language track where speaking teams will use Spanish as the primary language for their session. Presentations in this track will have materials available in both English and Spanish (PowerPoint presentations, documents, handouts, etc.).

Additional content and live session translation from English to Spanish will be available for plenary sessions and all poster presentations.

Communities of Practice
The National Home Visiting Summit offers two professional learning communities that meet throughout the year, culminating with a community session held annually at the Summit. New and current members are welcome to join. Payment

The Summit accepts credit cards, purchase orders, and payments by check. Payments made by check or purchase order can be processed by selecting the ‘Bill Me Later’ option when registering. Start Early’s W9, along with a receipt (credit card payment or invoice (POs and checks) to complete payment will be in the confirmation email received at the time of completing registration. We encourage attendees to complete payment via credit card when possible.

If paying by check or purchase order, please adhere to the following:
Attendees paying by check or purchase order have 45 days to complete payment for the Summit or provide us with an explanation for extending the due date (i.e. waiting for new fiscal year). Written payment explanations should be made within 45 days of registration to Events@StartEarly.org.

Checks must be mailed to Start Early with the invoice received in your confirmation email, including attendee name and confirmation number, to accurately reconcile payment. Failure to include documentation may result in delays with reconciling your payment.

If someone else will be submitting payment on behalf of an attendee (I.e. a finance department or sponsoring organization) the attendee is responsible for ensuring that their invoice is included with this payment. Failure to include documentation may result in delays with reconciling your payment.

Receipts: For attendees who pay their registration fee via purchase order or check, a receipt will be emailed to the speaker once reconciled.

Group Registration Discount
For organizations planning to register a group of 30 or more attendees, a registration discount is available. For every 10 registrants, the 10th registration is free. Please contact us at Events@StartEarly.org prior to registering your group to obtain the discount

Virtual Cancellation/Substitution Policy

Registration for the virtual conference is non-refundable. All content will be available on-demand for up to five months after the event.

If you are unable to attend the National Home Visiting Summit, you may transfer your registration to another person. Email the event team at Events@StartEarly.org with the names and email addresses of the original and substitute registrants.

Home Visiting Parent/Caregiver Registration & Honorarium

To qualify to receive free registration as a home visiting parent/caregiver, you must be currently engaged as a parent/caregiver in a home visiting program. Email the event team at Events@StartEarly.org to receive the code for free registration.

Parents/caregivers who are currently engaged as a parent/caregiver in a home visiting program and participate as attendees or speakers are eligible to receive an honorarium for your time spent participating in the Summit. For parent/caregiver speakers, the honorarium will cover time spent preparing for your presentation along with time spent presenting and participating at the conference.

Registration Scholarships for Direct Service Staff

The National Home Visiting Summit is providing registration scholarships to direct service providers in the home visiting field who would like to attend the virtual conference. Scholarship awardees will receive free registration for the conference. To be eligible for an award, applicants must be direct service providers, i.e. home visitors, doulas, community health workers, etc.

Deadline & Award Information

The deadline to apply for a scholarship was Friday, January 27, 2023. Decisions will be announced to all applicants the week of February 6, 2023.

Conference Commitment to Using Inclusive Language

Language is powerful and—when it reflects lived experiences and the humanity and joy of all people—can serve as a conduit for change. As such, we encourage speakers to consider the narratives and modes of thinking that they would like to amplify about the individuals, families and communities they are in partnership with in their home visiting work. We encourage presenters to view each component of their presentation as an opportunity to demonstrate respect for the individuals, families and communities to help eliminate deficit-based perceptions related to gender identity, sexual orientation, race, disability, mental health, age or religion. We ask contributors to be thoughtful in proposals and presentations about the implications of language.

We recommend several resources for shifting language and thinking to center equity and intersectionality. We recognize that language is evolving and DEIB commitments are a lifelong journey and invite discussion, reflection and feedback in preparation for, during and after the Summit. The virtual attendee hub will provide access and opportunities to connect with colleagues, speakers and other attendees virtually. Affinity group session will be offered to provide networking and dialogue sessions for attendees. Workshop speakers are encouraged to provide engagement opportunities during their sessions as well.

There will be no capacity limits on virtual participation at the 2023 Summit.

The Summit does not currently offer certificates or CEUs. Proof of registration can be provided upon request. Please note, the Summit does not provide certificates of attendance for individual sessions.

About the 2022 National Home Visiting Summit

Diversity, Equity, Inclusion and Belonging (DEIB): Justice demands we take the necessary steps to reimagine and begin to create systems to ensure that every person has fair conditions, support and agency to live free of oppression, with humanity and joy. The COVID-19 pandemic has accentuated and once again brought the deep economic, social and racial disparities that exist in the United States to the forefront of public debate.

The 2022 National Home Visiting Summit seeks proposals demonstrating a clear connection to the meeting commitment of DEIB that advance the home visiting field and connected systems of care through innovations, diverse perspectives and with a focus on impact. The representation of parent and provider voice, as well as those who have been historically marginalized, will be elevated and prioritized during the Summit. Proposals should have clear learning objectives, specific strategies for engagement and relevance for the Summit audience.

Submission Process

Submission Guidance

The 2022 National Home Visiting Summit steering committee, comprised of thought leaders from across the home visiting and early childhood field, have worked collaboratively with conference organizers to inform the development of the conference commitment, content areas of focus and selection criteria. The steering committee and conference organizers will use the following framework for selecting proposals.

Guiding Criteria

  • Proposals addressing key areas of focus for the 2022 Summit that include representation of parent and provider voice, and address topics impacting historically marginalized people, will be prioritized. Please provide specific examples when drafting your proposal.
  • The session’s content and speakers promote inclusion and diversity within the context of the presentation and broader home visiting field. Proposals should speak directly to issues of racism and DEIB when possible. Please provide specific examples when submitting.
  • The session provides relevant and innovative content. Preference given to presentations that align with the field-building vision of the Summit by highlighting important issues surrounding systems building, innovative and/or field-advancing practice(s) and creative/unique collaborations and partnerships.
  • The session engages attendees in the learning and discovery process by actively facilitating participant involvement. Speakers are expected to provide perspective and insight through dialogue, storytelling, case studies, lessons learned, etc. Accepted proposals will include examples of how attendees will be engaged throughout the session.
  • Participants are provided with multiple strategies that expand thinking and can be applied to practice.
  • To create space for all voices to be shared at the Summit we will take into consideration the number of sessions in the agenda with the same speakers and organizations represented. We encourage prospective speakers to consider ways to elevate partners, practitioners, parents and colleagues into speaking roles when deciding to submit a proposal.

Speaker & Session Requirements

  • The Summit encourages presenters to adhere to a three-speaker maximum. Exceptions will be made on a case-by-case basis. Preference will be given to presentations including parent and/or provider voice.
  • There are no registration limits for virtual sessions.
  • The conference organizer is planning for more than 1,200 virtual attendees.
  • Speakers presenting live must commit to presenting March 22-24, 2022. The conference organizer will assign session times in December.
  • All accepted proposals are required to complete Start Early’s speaker agreement form.
  • All presenters are required to participate in a planning meeting with the conference organizing team to review logistics, content and field questions.
  • All speakers must register for the conference by selecting the ‘speaker’ registration type. Speakers will receive complimentary registration. Conference registration opens in mid-October.

Presenting at the Virtual Conference

The 2022 National Home Visiting Summit will offer virtual engagement opportunities for both attendees and speakers. The following chart provides the list of on-demand and live session formats to choose from. Please review the conference schedule below to see which experiences are offered to each audience.

Session Formats

On-Demand

Session Length: 5-20 minutes
Delivery Method: On-demand
Session Description: Five to 20-minute pre-recorded presentation on key issues/questions facing the field. On-demand recordings can also focus on sharing a single resource, strategy or innovation.

In an effort to make recordings more accessible, English and Spanish closed captioning and written transcripts in both English and Spanish are required for all recordings. The conference organizer will provide technical assistance to all teams in need of support.

Speakers recording on-demand content have three options:

Option 1 – Record with us: Speakers will present virtually with a professional production company the last two weeks of February 2022. All transcripts and captioning details will be handled by the production company.

Option 2 – Record on your own and submit for captioning/transcript services: Speaking teams selecting this option are required to submit final recordings to the conference organizer by March 1, 2022. We cannot guarantee recordings submitted after the deadline will be available at the start of the conference on March 22, 2022. Details on file type/transfer method will be provided at the time of acceptance.

Option 3 – Create final video: Speaking teams that choose this option will submit final edited videos that include English and Spanish closed captioning along with English and Spanish transcripts.

To further professionalize and ensure quality for the on-demand recordings offered at the Summit speaking teams are strongly encouraged to record virtually with our production partners. Speaking teams will be asked to confirm recording method when accepted.

Workshop Session

Session Length: 45-minutes
Delivery Method: Live
Session Description: Explore topics of common interest using innovative thought-provoking content blended with audience participation. Presenters act as content leaders, presenting short segments of content and then lead engaging activities, group discussion and participant reflection segments on how to apply knowledge to practice. Virtual participants will engage via verbal and non-verbal strategies, including live chat, polling, Q&A, and breakout groups.

Successful proposals will clearly state the attendee engagement strategies (verbal & nonverbal) used in the workshop session.

Zoom: The Summit will utilize Zoom to facilitate all virtual workshop sessions. Depending on content, speakers will have the option to use Zoom Meetings (includes breakouts) or Zoom Webinar (no-breakouts). Speakers will be asked to join a planning meeting to review the details of your virtual sessions with our conference organizing team to ensure each aspect of your session is correct. (ie. polling, breakouts, all speakers have links, etc.)

Virtual Poster Session

Session Length: 60-minutes
Delivery Method: Live
Session Description: Each poster team will receive a virtual booth to host their presentation and materials. In addition to your poster being available on the conference website, a live engagement session will be held.

On-demand recording of your poster presentation: Presenters interested in recording a two to 5-minute video explaining their poster are required to meet the conference standard for pre-recorded content requiring English and Spanish transcripts and closed captioning in both English and Spanish for your video. To make this possible, the conference organizer will provide these services for your team. Please view the recording details in the on-demand section listed above for options.

Live Virtual Poster Session: Poster presenters will be given the opportunity to host a virtual booth the afternoon of Wednesday, March 23. Conference attendees will be able to join via video chat to ask questions and learn more about your poster in real-time. Poster presenting teams should have at least one presenter join the live poster session.

Affinity Groups/Networking Session

Session Length: 30-45-minutes
Delivery Method: Live
Session Description: Host a virtual (via Zoom) affinity group or networking session. Do you have a topic or specific group of colleagues you’d like to engage in discussion?

These sessions are designed to provide coordinated networking opportunities for attendees looking to continue engagement with their peers. We encourage proposals that are both topical to home visiting and groups that are unrelated to the field (i.e. travel, leisure, food). Please be specific in your proposal, including guiding questions for discussion along with how you plan to utilize Zoom tools (breakouts, polls, apps) to engage the group.

Affinity groups will be held during scheduled networking times.

Session Description: Submit your presentation idea and work with the conference organizer on determining the best format for your session.

Submission Process

The submission process utilizes an online abstract management website powered by Cvent. The submitting author will create a username and password for the website, upload speaker bios/headshots and answer the proposal questions for the speaking team. The abstract management website allows you to save your progress and return to the website to complete/edit your proposal.

Bios & Headshots
The conference organizer requests all speakers provide bios and headshots at the time of submitting your proposal. The information provided during the proposal process will be used to create the agenda and website content for your session. This information will also be used to create your registration and profile for the conference website. Speakers will only be asked to provide this information one time.

Content Management for Accepted Proposals
Speakers in all session modalities will be given access to a speaker portal powered by Cvent. The speaker portal will be used to upload OnDemand recordings, session materials, posters, PowerPoints and related resources for your session. The speaker portal will save all the information you provided during the call for proposal. In preparation for conference engagement the conference organizer is asking speaking teams to aim to have all recordings and session materials submitted by Friday, March 11 – two weeks before the Summit. Speakers will have the ability to upload and remove resources before, during and after the Summit. Additional details and procedures will be contained in the acceptance email. No, you may save your draft and come back to it if you are still in the process of gathering information.  

The submission portal will be open through November 19. Changes to your presentation can be made up until the deadline. Changes after the deadline will not be accepted. Teams with updates to speakers are encouraged to submit those via email to events@startearly.org.
